May 26 email thread

Dear Pool Committee,

This is a series of e-mails that happened in the last few days. I want you included, so please let me know your feelings when you read this. I will also forward the patron counts for the pool this year so you can see the number of people that cycled through our pool the first 3 weekends alone. I was surprised, and I want us to be better prepared.

I can verify that Paul has done pro bono work for us. I asked him to fix the crack in the deck and he did it right away. I didn't realize at the time that we weren't paying him for it, but still, Paul did a good job with a good attitude. It will save little feet from being cut this summer.

I forwarded the patron counts from this season to Tina, and we are way understaffed at the pool. I asked Paul to recommend the number of lifeguards that would make our pool a safe place to swim, and I will forward that to Tina when I get it. We need to beef up the number of guards at least through the July 4th weekend.

The lifeguards do make a difference in how people behave at the pool, not to mention that swimmers are safer with the lifeguards there. I am appalled at the messes people leave at the pool expecting someone else to clean up after them, day after day. I know because I've been doing the cleaning since there are no lifeguards on during the week. If anyone wants to verify that, come with me tomorrow to see how much lost and found I picked up today alone, and please smell the bathrooms before I clean them. I cleaned them yesterday, and you would never know. They both smell like urine. Not to mention the amount of trash left on the deck. What happened to pride of ownership? We take this service from our lifeguards for granted.

We do have a problem with kids getting into the pool with the setup that we have now. We desperately need to make some changes. I watched an 8 year old little girl climb the fence into the pool while her dad stood by at 7:45 pm tonight. He intended to let her swim while he stayed outside the pool with his dog. I yelled at the girl for climbing the fence and the dad laughed it off, and the girl ignored me. So I went into the pool and told her she had to leave. He met me at the gate, not knowing I was on the pool committee and acquiesced once that was established. I made his daughter leave with him, so I could close the pool on time. The girl left complaining bitterly. I know the father would have given in if I had not been there.

The lifeguard chair was in the pool last Saturday morning, and that person got into the pool area by squeezing through the front gate and the left brick column. I know that because one of the tops of the metal poles was broken on the inside of the gate when I opened the pool, and it wasn't there the night before when I closed the pool.

You all know about the 2 young teen pool parties the last 2 Friday nights. The first was unsupervised, and the 2nd would have been had I not been there to insist on parent supervision. We are leaving ourselves open for a lawsuit, and we can't sit by and let that happen.

I am passionate in what I believe, but I am in no way blaming the board for any of this. These are problems that we have inherited. I am asking you to be the board that fixes these problems. Let me know how I can help.

Thank you!
Marcia Tong

Hello Elisha,

If I have read the forwarded e-mail correctly, all the incidents involving people that were not supposed to be at the pool or causing problems occurred on a weekday. We do not have lifeguards at the pool on weekdays yet and Orchard Farms has no system in place to police who comes in and out of the facility.

I’m not sure what can be reasonably expected under these conditions and my only suggestion would be to not allow the pool to open without the correct number of lifeguards or administrators. Otherwise they would have to install a taller fence and an entry system that will only allow recognized members to enter the pool.

In regards to the water, our staff did make a mistake and leave the fill spout on. I do want to make it a point that our company has made many repairs and improvements for free over the years for Orchard Farms that recently includes repairing a crack several feet long on the deck that was not included in our proposal. This repair alone would normally cost $150 or more. I make the decision to do these things to show our commitment to providing Orchard Farms a great product and service. Even though I have made these items known to Jim and Erin in the past, and they were always thankful and grateful, our efforts always seem to be forgotten whenever the few issues occur that are human mistakes on our part. That being said, I will be happy to pay for the excess water used on that day without sewage charges. Please forward me the bill from the water company showing this cost. Please keep in mind that the pool was emptied and filled shortly before this and I want to make sure we don’t incur any of this charge.

Finally, I have recently forwarded the patron counts from the past three weekends to Marcia Tong. I’m sure she will be sharing this with the board very soon. Please review them closely and let me know what the board’s stance is on the safety of the situations when the patron count is very high and there is only one guard scheduled. After looking at the numbers, I believe there have been some potentially dangerous times due to the lifeguard/patron overloads and I think we should look at increasing the number of guards at the peak times during the first part of the season.

Thank you for your attention to this matter.

Hi Paul -

Please take a moment to review the concerns listed below regarding children and adults entering the pool without passes, water accidentally being left on at the pool and at your earliest convenience, let's talk about a strategy that can minimize these concerns.

I am well aware that this occurs at other facilities that are guarded and would like to have your feedback on how those communities take an approach to minimizing this situation.

The Board is considering other entry options for next year, but nothing has been confirmed. Until then, let's see what we can do to keep 2010 a great swim season.

I will request from Greenville County Water to advise if there was an increase significant enough to pass the increase off to Upstate. Residents are hoping that Upstate will adjust this increased amount on one of the upcoming invoices submitted to the HOA. Please advise if Upstate will honor this request.

Thanks

Last night we had our grand kids at the pool again around 6:30 until almost closing. We checked passes and several kids had to get out of the pool, go home and get passes. Two teenage girls came waltzing in and I asked for pool pass. They looked at the boys in the pool and one boy said, go to my house and get one. They left and did not return.

An older person was at the pool, we introduced ourself and asked how many kids she was supervising so that we did not approach these kids about passes. She baby sits her grand kids. Her daughter lives at 315 Cresthaven(Parker) and we later met her daughter. They shared their complaints about these teenagers that use bad language around the younger kids at the pool. This lady, Frances, also shared about the pool condition last Monday,17th (I think). Please check the tape. The board may already know about this issue. The pool was overflowing, Upstate left the water running in the pool. This happened after school, around 3pm. She called her daughter and her daughter called HOA or Upstate not sure. Children were entering the pool, she advised them not to get in the pool because the depth was not accurate. Upstate arrived and pumped the water out. Water bill will need to be checked with possible adjustment to our bill or Upstate is responsible. FYI, to receive credit on water bill, after bill received(not before), contact water co and they make the adjustment.

Frances identified one of the boys that had no pass as a brother to the group of teenagers that use bad language. We approached this boy to check pool pass, he had none, but left to get one. His name is Leasure and lives at 421 S. Orchard. He was returning as we were leaving. We told everyone we approached that they must have a pool pass and the pool committee will be checking passes.
